Proweb - How to add, remove or adjust Special Date Operating Hours

This document will show you how to add, remove or adjust Special Date operating hours within POL. It can be useful to set up special dates for when the operating hours differ to a normal day (ie. Christmas, New Years, Easter etc).

1. First you should access the POL Setup screens using the below file path.
    1. Tools > Setup > Display POL Setup

2. You can then select the ‘Operating Hours’ option from the left hand menu.

3. You will be presented with a screen similar to the below. You should now select the ‘Special Dates’ button on the top right.

4. You will automatically be shown the Special Dates for the site you are logged in to but you can switch between sites using the ‘Location’ toggle in the top right corner.

Adding Special Dates

From within the special dates screen, you will be able to add a Special Date by using the ‘Add Date’ button on the top right hand corner. You will then be presented with the below dialog.

By selecting ‘Repeat Yearly’, this will repeat the special date across all future years meaning that you won’t have to keep repeating this each year. This can be useful for dates such as New Year's Day / Christmas as the dates do not differ from year to year.

Once you have finished adding the Special Date, it will default to show as ‘Closed’ for that day. Please follow below to see how you can change this.

 

Adding Opening Hours – Special Dates

To adjust Special Date Operating Hours you will need to click on the three dots ‘…’ at the end of the bar and you will have the option to ‘Add Opening Range’.

You can use the toggles at the end of the bar to extend/reduce the hours that the site is open for that day.

For example the below site is currently open between 7:30am and 5pm on New Years Day:

Now if I wanted to have the site close at 1pm on New Years Day then I can simply grab the right hand toggle and move it towards the left.

If I wanted to have the site open at 9am then I would grab the left hand toggle that shows 7:30am and drag it to the right until it shows 7am.

It is worth noting that you do not need to press a SAVE button on this screen, all changes that you make will be saved automatically and should be visible on Proweb within 5 minutes.

 

Removing Operating Hours – Showing as Closed

If you wanted to remove Operating hours that you have previously added or added by mistake and show that you are closed. You can do this by clicking in the centre of the current opening hours and it will give you an option to remove it entirely.

Pickup / Return Hours

By default, pickup and return hours will be any time within the operating hours (ie. Open between 9am and 1pm, the customer can choose to pickup/return at any time within that period).

However you can specify bespoke pickup and return times that differ from the operating hours. This can be useful if you allow drop off outside of the operating hours for example.

To set this up you can do so by clicking the three dots on the right hand side adjacent to the relevant day and then select ‘Add Drop-off Range’ or ‘Add Pickup Range’.

Copy Special Dates to other Sites

You are able to copy your Special Dates across to other sites on your system. This can be handy if all sites have the same special dates and will save you time when setting this up.

To do this, click ‘Setup’ on the top right of the screen and then the below dialog will be presented:

In the above example, I am waiting to copy the Special Dates from Gatwick Airport site to Heathrow site.
