Proweb - Setting up Seasonal Rates with Premium Days Rule

Seasonal Rates can be integrated into Proweb via “Rules.” These rules allow you to configure a setup so that Proweb automatically knows which period or season should be charged based on the dates selected by the customer.

In this article, a ‘premium’ rate per day will be applied depending on which season(s) the booking falls in, whether that’s Low, Medium, High, or Peak season. 

To get to the Rate Card & Rules section, in Prohire navigate to Tools > Setup > Display POL Rate Cards. Enter your username and password if required. This should open the ‘Rate Cards’ tab within POL Setup.
Below is an example of what the Rate Card itself may look like, as you can see there is a single ‘RENT’ item applied to each vehicle group. This will be the ‘base rate’ at which a premium rate per day will then be added onto.

Next, in the ‘Rules’ section is where the Rules will be created and premium rates per day will be applied. In the below screenshot, we can see several alternatives depending on the time of year and which season they fall under.

•    Yellow – This rule has a trigger of “If booking overlaps 5th Jan 2021 to 11th Feb 2021” and an action of “Add the RENT item” only. As these dates form a ‘Low’ period, the rule is only applying the base rate we saw in the first screenshot above, no other premium rate is being applied.

•    Green – This rule has a trigger of “If booking overlaps 12th Feb 2021 to 22nd Feb 2021” and an action of “Add the RENT rate card item & Add an RENTMED item at £19.04 per day during the premium period.” As these dates form a ‘Medium’ period, the rule is applying the base rate we saw in the first screenshot above, and an additional £19.04 per day (net).
•    Blue – This rule has a trigger of “If booking overlaps 1st April 2021 to 18th April 2021” and an action of “Add the RENT rate card item & Add an RENTMED item at £33.33 per day during the premium period.” As these dates form a ‘High’ period, the rule is applying the base rate we saw in the first screenshot above, and an additional £33.33 per day (net).

•    Pink – This rule has a trigger of “If booking overlaps 30th April 2021 to 3rd May 2021” and an action of “Add the RENT rate card item & Add an RENTMED item at £42.85 per day during the premium period.” As these dates form a ‘Peak’ period, the rule is applying the base rate we saw in the first screenshot above, and an additional £42.85 per day (net).

How to setup rules with premium days

To get to the Rules section, in Prohire navigate to Tools > Setup > Display POL Rate Cards. Enter your username and password if required. This should open the ‘Rate Cards’ tab within POL Setup. Click on Rules button against the relevant rate card.

Click ‘New Rule’ button in the top right-hand corner to begin creating a new rule.  

On the ‘Details’ tab you must provide a suitable name for the rule which gives you or another user an idea of what the rule is for.

You can also select a category from the dropdown menu highlighted on the right-hand side. You can use this to further filter the rules screen.

On the ‘Triggers’ tab is where we provide the criteria & conditions the rule must meet to successfully trigger.

In this scenario, and as per the rule name above, the rule is regarding Jan-Feb 2022. Therefore, add in an ‘Overlap Date Range’ condition and simply enter the from & to dates applicable.

On the ‘Actions’ tab is where we set the action(s) to be applied if the rules criteria are met. On this occasion there are 2 actions to be applied.

The first action ‘Add item from rate card’ is adding the ‘Rental’ base rate as this is applied no matter the date.

The second action ‘Add overlap days premium item’ is adding the ‘Rental Medium’ item at a rate of £10 per day (net)

For example, if a booking is placed for Jan 1st – Jan 8th 2022 (7 days) it would add the base rate rental item of £100 per day (1st action) and then an additional £10 per day premium + VAT for falling in a ‘medium season.’ (2nd action)

Hit ‘Create’ to finish creating the rule.
